What Is Microsoft Copilot and Should Your Business Be Using It?

Microsoft Copilot is becoming difficult to ignore if your business already runs on Microsoft 365. AI capabilities are now available across tools employees use every day, including Outlook, Teams, Word, Excel and PowerPoint. 

That makes Copilot easier to introduce than many standalone AI platforms. Employees do not necessarily have to learn an entirely new system or move their work somewhere else. 

It also makes Copilot easy to underestimate. 

Drafting an email or summarizing a meeting may be the first features people try, but the bigger business opportunity is often tied to information employees already have. Copilot can help people find, summarize and work with content across Microsoft 365. 

Whether that turns into a worthwhile investment depends on the condition of the environment behind it. Permissions, data quality, security controls, Microsoft 365 administration and employee work habits can all affect the results. 

What Is Microsoft Copilot? 


Microsoft Copilot is an AI assistant designed to help employees complete everyday work using Microsoft tools and, depending on the version, information from their organization's Microsoft 365 environment.  

For business professionals, that means Copilot can act as an additional layer across the applications they already use. Instead of opening a separate AI tool and providing all of the necessary context themselves, employees can use Copilot within Microsoft 365 to help find information, understand it and turn it into useful work. 

Depending on the application and license, employees can use Copilot to: 

  • Summarize long email conversations in Outlook
  • Recap Teams meetings and identify action items
  • Draft or revise documents in Word
  • Work through information in Excel
  • Build presentations from existing material in PowerPoint
  • Find information across Microsoft 365 that the user already has permission to access

 

What Is Microsoft 365 Copilot Chat?


Microsoft 365 Copilot Chat is Microsoft's AI chat experience for work. Employees can use it to ask questions, brainstorm ideas, draft or summarize content, conduct research, and complete other tasks through a conversational interface.  

Copilot Chat is available to eligible Microsoft 365 users, but its capabilities differ from those included with a Microsoft 365 Copilot license. One of the important distinctions is how Copilot can work with organizational information such as emails, meetings, chats, and files.  

For businesses, that means Copilot Chat can provide a relatively accessible way for employees to begin using Microsoft's AI tools, while a Microsoft 365 Copilot license enables deeper integration with an employee's work and organizational data.  

That distinction matters when planning a rollout. Not every employee needs the same Copilot capabilities or the same license. 

 

Where Copilot Can Actually Save Time 


A lot of AI demonstrations focus on generating content because the results are easy to show. In a real workplace, some of the better opportunities may be much less flashy. 

Consider how much time employees spend looking for information in files they know already exist. 

A manager comes back after several days away and needs to work through missed meetings, Teams discussions and email. An account manager preparing for a client conversation has to find previous correspondence and the latest documents. Someone in operations needs to determine what was decided during a meeting they could not attend. 

Those jobs are not difficult. They are simply time-consuming. 

Copilot can reduce some of that administrative work by giving employees a faster way to get oriented. The value becomes clearer when the same task happens repeatedly. Saving ten minutes once will not change much. Saving ten minutes several times a week across a group of employees deserves more attention. 

The best use cases tend to involve recurring work where employees spend time searching, summarizing, comparing, or organizing information before they can get to the more valuable part of the task. 

This is also why Copilot is unlikely to deliver the same value for every role. Someone who spends most of the day in meetings, email and documents may use it constantly. An employee who works primarily in a specialized line-of-business application may have fewer reasons to use it. 

Microsoft's Copilot adoption guidance recommends identifying early users, establishing success measures, and gathering feedback as organizations roll out the technology. 

 

Does Copilot Have Access to Everything in Microsoft 365? 


No. Microsoft 365 Copilot is designed to work within the access permissions assigned to the individual user. 

If an employee does not have permission to access a file, Copilot should not give that employee access to it. Microsoft explains this in its Microsoft 365 Copilot architecture documentation. 

The more important issue is whether the permissions a company already has are correct. 

Microsoft 365 environments tend to accumulate access over time. Someone may still have access to a SharePoint site from a project that ended years ago. A Teams workspace might include employees or guests who no longer need to be there. A OneDrive folder may have been shared more broadly than intended. 

Those problems existed before Copilot. What changes is how easily authorized information can be surfaced. 

Before AI, an employee might have needed to know that an old SharePoint site existed, navigate to it, and dig through several folders. If Copilot can help surface relevant information from that same environment, overly broad access becomes harder to dismiss as a harmless housekeeping issue. 

Microsoft specifically addresses overshared and poorly governed content in its guidance for securing Microsoft 365 Copilot. 

For an Omaha or Lincoln business that has been using Microsoft 365 for years without a recent permissions review, Copilot can provide a good reason to finally conduct one. 

 

Copilot Can Expose Poor Information Management Too 


Permissions are only part of what needs attention. 

A mature Microsoft 365 environment usually contains some clutter. There may be four copies of the same policy, a Teams channel nobody has used in two years, outdated files sitting beside current ones or SharePoint sites with no clear owner. 

Employees learn how to work around those problems. They know which spreadsheet is the real one. They know the policy in one folder is outdated. They know which Teams channel a project moved to six months ago. 

AI does not share that institutional history. 

That makes a few basic information-management questions more important:

  • Who owns important SharePoint sites and shared information?
  • Can employees tell which version of a document is current?
  • Is old information being retained for a business or compliance reason?
  • Does the company know where sensitive information is stored?
  • Are outdated workspaces and files being reviewed or retired? 

These questions are not specific to Copilot, but they can have a direct effect on how useful the technology becomes. 

They may also expose a broader problem with how information is stored and accessed. For businesses already reconsidering cloud computing in Omaha, for example, an AI project can be another reason to review whether the current cloud environment still fits the way the company operates. 

 

Preparing the Microsoft Environment 


The technical preparation for Copilot should begin before licenses are assigned. 

At a minimum, businesses should review: 

  • Microsoft 365 user accounts and administrative privileges
  • SharePoint permissions
  • Teams membership and guest access
  • OneDrive sharing
  • Multifactor authentication
  • Sensitive information controls
  • Endpoint protections

Perhaps no one has been consistently reviewing accounts and permissions. Maybe security settings vary from one part of the business to another. A smaller pilot gives leadership better information about where Copilot is genuinely useful. Start with employees whose work includes a substantial amount of email, meetings, documents, and internal information, then give the pilot something specific to prove. 

For example: 

  • Can an account manager prepare for a client meeting faster?
  • Can managers spend less time turning meetings into notes and follow-up tasks?
  • Can employees catch up on missed conversations more efficiently?
  • Can leadership work through lengthy internal reports faster without losing important context? 


Measure the existing process before the pilot begins. Otherwise, it is difficult to know whether anything has actually improved. 

Daily Copilot usage is not enough. An employee opening the tool every day does not prove that the company is receiving a return on the license. Time saved, manual steps eliminated and improvements to an actual business process tell leadership much more. 

Microsoft's Copilot adoption guidance similarly emphasizes defining success, selecting early adopters, gathering feedback, and measuring results during implementation. 

 

Security and Employee Use Still Require Attention 


Copilot works within Microsoft's existing security and compliance framework, but adding AI does not eliminate the need for sound security practices. 

A readiness review may uncover old accounts, weak access policies, inconsistent endpoint protection, or sensitive information that is not properly controlled. If it does, those issues deserve attention whether or not the company moves forward with Copilot. 

For organizations reviewing cybersecurity in Omaha and Lincoln, this is a useful reminder that security now extends well beyond firewalls and antivirus software. Identity, Microsoft 365 permissions, endpoints and information governance all affect what employees and the tools they use can reach. Businesses that uncover gaps in those areas may need to take a broader look at their cybersecurity approach. 

Employees also need guidance on how Copilot should be used. 

That guidance should go further than teaching people how to write prompts. Employees need to know what information is appropriate to use, when an AI-generated answer should be checked against the original source and who is responsible for reviewing the finished work. 

A polished answer can still be wrong. That matters in client-facing work, financial information, HR matters, legal documents, and any other situation where a believable mistake can have consequences. 

Training based on the work employees actually perform will generally be more useful than handing everyone a generic prompt library. 

 

A Practical Copilot Readiness Checklist 


Before expanding Microsoft Copilot across the organization, leadership should be able to answer yes to most of the following: 

  • Are Microsoft 365 permissions current and regularly reviewed?
  • Do we know where sensitive information is stored?
  • Are multifactor authentication and appropriate endpoint protections in place?
  • Is important company information reasonably organized and current?
  • Have we identified specific employee workflows Copilot could improve?
  • Do employees know how AI-generated work should be reviewed?
  • Have we established a way to measure whether Copilot is saving time or improving a process? 

A "no" does not necessarily mean Copilot is off the table. It tells you where preparation may be needed before a larger rollout. 

For Omaha and Lincoln companies without enough internal resources to answer those questions confidently, that may also be the point where outside IT support becomes useful. The need could be a one-time assessment, ongoing Microsoft administration, or a broader look at how IT is being managed. The appropriate level of help depends on what the review uncovers. 

 

Is Microsoft Copilot Worth It for Your Business? 


For some businesses, yes. For others, the right answer may be "not yet." 

Companies that rely heavily on Microsoft 365 and have employees spending substantial time in email, meetings, documents and internal information are well positioned to find useful applications. 

The case is weaker if permissions are poorly controlled, information is disorganized, or no one can identify the work Copilot is supposed to improve. 

Start with the environment you already have. Clean up obvious access and information management problems. Pick a handful of recurring tasks that consume more employee time than they should, then test Copilot with the people who perform those tasks regularly. 

If the pilot produces a measurable improvement, there is a reason to expand. If it does not, the company has learned that before making a much larger investment. You’ll also want to consider tapping an IT consultant knowledgeable about Copilot capabilities will give you the knowledge you need to determine if your specific business will benefit from Copilot.  

For businesses in Omaha and Lincoln, the exercise can also reveal whether the larger technology environment is ready for the next several years of Microsoft and AI adoption. There is no advantage in buying Copilot simply to say the company has AI. What matters is whether employees can point to work that became faster, easier or more consistent without creating new security or governance problems.
